MINUTES OF THE 62nd ANNUAL GENERAL MEETING

HELD ON 30th MARCH 2020 (by video link) at 7.30pm

1.INTRODUCTION:

The Chairman explained that this years Annual General Meeting was being held by video link with a quorum of Council Members attending due to the extenuating circumstances caused by the Corona Virus pandemic.

2.PRESENT:  Neil Sellman (Chairman), Harriet Davey (Hon. Secretary), Henri Hayler (Hon. Treasurer), Victoria Fay and David Harding (Council Members).

3.ACCOUNTS FOR THE YEAR ENDED 30TH SEPTEMBER, 2019:

The Treasurer submitted the accounts for year ending 30th September 2019 which were accepted by those present.

PROPOSED:  Harriet Davey     SECONDED: David Harding

The Treasurer proposed a vote of thanks to Manningtons Accountants for their services, which they provide free of charge.

4.ANY OTHER BUSINESS

a)  Extraordinary Meeting: It was agreed that an Extraordinary Meeting be held once this is possible

     ACTION:  To be booked into the Diary for the first Monday free at the beginning of September (NS).

b)  Council Members Reports:  It was agreed that all Council Members submit a report on their

      activities on behalf of the Theatre during the past year, these to be published online at the rate of

      one every 1-2 weeks (excluding the Chairman and Hon. Treasurer who will give their reports at the Extraordinary Meeting).

There being no further business, the Chairman declared the meeting closed at 7.40 pm.

STABLES THEATRE 2020/2021

I very much hope that this letter finds you well and keeping safe. It will be published on our online platforms/via mail chimp and sent by post to those members for whom we do not have email addresses.

STABLES 2020 ANNUAL GENERAL MEETING
The Annual General Meeting will go ahead as scheduled on 30th March 2020; there will be just a quorum of five people, ie Chairman, Treasurer and Secretary plus two Council members. The meeting will adopt the accounts only and then close.

An Extraordinary Meeting will be held later in the year when it is safe to do so.

We have two vacancies on Council and nominations have been received for Heather Alexander, Yvonne Rees and Andrew White; but as many of the Council’s tasks have been suspended, election of new Council members will be delayed until the Extraordinary Meeting.
Accounts and last year’s minutes are on our website and will be available as a hard copy once the Stables has re-opened, and also on the evening of the Extraordinary Meeting.

RE-SCHEDULING
The process of re-scheduling has started and will include the whole of the 2021 season. Once the theatre has re-opened we plan to run the season straight through until December 2021 with no break in January 2021.

Re-scheduling will include postponing and, sadly, cancelling some of the productions planned for this year. As our proposed new season is agreed, ticket holders for each event will be contacted and will be offered the opportunity to transfer their bookings to the new dates. If this is not possible you will be offered a) an alternative show, b) a gift voucher, c) an opportunity to donate the cost of your ticket to the theatre or d) a refund.

As we are dealing with a number of different companies we have taken the decision to treat shows individually and people who have made multiple bookings throughout the season will need to be contacted on more than one occasion. We apologise for this inconvenience.
Additional tickets for the new season will not be available to the general public until shows go back into rehearsal, hopefully in early August.

We obviously don’t know how this pandemic is going to restrict us but we feel that plans need to be made. We provisionally propose to start Stables Theatre productions again in mid-September with the theatre opening four to six weeks beforehand, with information on the status of individual shows shown on our website as it becomes available.

I would like to finish by thanking you all for your patronage of the Stables Theatre, our volunteers for their tireless work and the various committees for their support during this difficult time.
